1. Who We Are

ClockHQ ("we," "our," or "us") provides field service management software to trade contractors. Our service is available at clock-hq.com. Questions about this policy can be sent to hello@clock-hq.com.

2. Information We Collect

We collect information you provide directly:

  • Account registration details (name, email, company name, phone number)
  • Contact form submissions
  • Work order, customer, and job data entered into the platform
  • Technician time clock events, GPS location data (during active work hours only), and photos

We also collect automatically:

  • Log data (IP address, browser type, pages visited, timestamps)
  • Device identifiers for the mobile web app
  • Cookies and similar tracking technologies for session management

3. How We Use Your Information

  • Provide, operate, and improve the ClockHQ platform
  • Process payments and send invoices
  • Respond to support requests and inquiries
  • Send service-related emails (no marketing without consent)
  • Detect and prevent fraud or abuse
  • Comply with legal obligations

4. GPS and Location Data

Location tracking is active only while a technician is clocked in. Tracking stops automatically at clock-out. We never collect location data outside of active work sessions. Technicians receive a visible "Tracking On" indicator at all times. Location data is stored securely, used only for operational purposes (job verification, mileage, dispatch), and is not sold or shared with third parties for advertising.

5. Data Sharing

We do not sell your personal data. We share data only in these limited cases:

  • Service providers: Hosting (Vercel/Supabase), email delivery (Resend), payment processing — each bound by data processing agreements
  • Business customers: If you are a technician, your employer (the ClockHQ account holder) can view your time records, location history, and work order activity
  • Legal requirements: If required by law, court order, or to protect rights and safety
  • Business transfers: In connection with a merger or acquisition, with advance notice

6. Data Retention

We retain account data for as long as your account is active. After account deletion, we purge personal data within 90 days, except where we are legally required to retain it longer (e.g., financial records for 7 years). GPS location data older than 2 years is automatically deleted.

7. Security

We use TLS encryption in transit, AES-256 encryption at rest, access controls, and regular security reviews. No system is 100% secure; we will notify you promptly of any breach affecting your data.

8. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, export, or delete your personal data. To exercise these rights, email hello@clock-hq.com. We respond within 30 days.

9. Children

ClockHQ is not directed to individuals under 16. We do not knowingly collect personal data from children.

10. Changes to This Policy

We may update this policy periodically. We will post the new version here with an updated effective date and, for material changes, notify account holders by email at least 30 days in advance.
